Client follow-up framework: build lasting relationships

Beyond the invoice: building lasting client relationships with a simple follow-up framework

You’ve finished the work, packed up your tools, and the client is happy. But what happens next?

In the rush to move on to the next job, admin and follow-ups can easily get pushed to the side. Yet a quick check-in after the invoice is paid could be one of the smartest ways to grow your business, and it’s a lot easier than you might think.

Following up with your client after the work is done not only builds trust, but it’s a great way to encourage reviews, and even uncover new opportunities or referrals. With this simple three-step framework, you can stay connected to your clients long after the tools are packed away – helping you transform one-off jobs into lasting partnerships that fuel the steady growth of your business.

You’ve probably heard following up with your clients is good practice. But what if this simple strategy could show more than just your good-manners? Here’s why checking in with your clients delivers tangible benefits that go well beyond common courtesy:

Builds trust and loyalty

A quick follow-up shows clients you care about their satisfaction, not just the job.

Generates positive reviews

Happy customers are more likely to leave glowing reviews, which is gold for growing businesses.

Uncovers future work

A quick chat can lead to them mentioning a future project or a referral.

Mitigates negative feedback

Following up gives you the chance to resolve small issues before they become bigger problems or public complaints.

Staying connected with clients doesn’t need to be complicated. Here’s a simple three-step framework you can apply to every job.

Step 1: The 24-hour check-in

What it is: A quick, friendly text or email the day after the job is finished.
What to say: “Hi (client name), just checking in to make sure everything’s working as expected. Please let me know if there’s anything that needs adjusting.”
Why it works: It shows professionalism, reassures the client, and allows you to fix any minor issues instantly before they become bigger problems.

Step 2: The 30-day “how’s it going?”

What it is: A polite follow-up about a month later.
What to say: ““Hi (client name), it’s been a month since we finished your job. Just checking in to see how everything’s going and if you have any questions.”
Why it works: It keeps you top-of-mind, demonstrates long-term care for your work, and positions you as a reliable partner rather than a one-time contractor.

Step 3: The 6-month “time for a check-up?”

What it is: A reminder tied to safety, maintenance, or seasonal services (for example, an air-conditioning tune-up before summer).
What to say: “Hi (client name), it’s been a while since we completed your job. Now’s a great time to book a quick check-up to ensure everything’s running safely and efficiently.”
Why it works: It creates natural opportunities for additional paid work, builds your reputation as an expert, and shows that you care about the client’s ongoing safety and comfort.

  1. Always use your client’s name – it shows respect and instantly makes your message feel genuine.
  2. Jot down a couple of details about their job or preferences so you can mention them later.
  3. Sending a simple text message with something as simple as “Hope the new switchboard is working well” goes a long way.
  4. If they give you positive feedback, ask for a review while it’s fresh – it’s the perfect time to capture their good experience and turn it into something that helps you win future work.

Following up doesn’t have to involve a grand gesture or even take a huge amount of effort – a quick thank you, a timely request for a review, and the occasional check-in are enough to keep you front of mind.

Taking simple steps like these shows you care and can turn once-off jobs into steady repeat business. Remember: keep the communication open, keep it genuine, and check in once in a while. Start with your next job and make the follow-up part of your routine.
